Artist Alley: Rules

Rules and Information for Exhibitors in the Alley

Artists and exhibitors in the Artist Alley are expected to abide by the guidelines below, as well as all rules of Otakon Vegas show, and the Planet Hollywood Resort. We want everyone to have fun, enjoy the art, and be safe.

Hours Staff On-Site at Artist Alley

The Mezzanine of Planet Hollywood is open to the public 24/7. YOU (THE ARTIST) are responsible at the end of the day to remove any valuable materials.

Thursday Noon 3:00 pm (Table Setup Only)
Friday 10:00am 8:00pm
Saturday 10:00am 8:00pm
Sunday 10:00am TBD

General Policies

While in the Artist Alley all convention, venue, local, state, and federal rules, policies and laws apply. Convention rules can be found online on the Otakon Vegas website and in your program book.

All artists must show a government-issued, photo ID to check in at the Alley. If an artist is not able to produce a valid ID at check in, their table(s) will be held until noon on Saturday, at which point the table(s) will be considered unclaimed and open for sale on a first come, first served basis. Accepted forms of ID include but are not limited to:

  • State (or district) driver's license
  • State-(or district)-issued identification card
  • Passport
  • Military ID.

In the state of Nevada, a person must be at least 18 years old in order to sign a contract. Therefore, any person who is not 18 must have an adult sign the contract on their behalf. The adult who co-signed the contract must be present to check-in for a table, must remain present at the table at all times, and must accept responsibility for any failure of the under-aged artist to comply with all convention policies as well as applicable laws.

No badges or special Artist Alley badge designations are included with Alley registration. But that's also because no badges are required! The Artist Alley is not in the access-controlled convention space.

Number of Tables

You are allowed to apply for a maximum of one table. You may not bring your own table(s) to supplement this amount.

All tables are $100 and do not include a ticket/badge. Tickets must be purchased separately.

Remember, Artist Alley Table ≠ convention badge. This price is for your table. Not needed for the alley for you or the public. Everyone is encouraged to join the convention for 1-3 days, though!

Number of people behind each table

There may only be two (2) people behind each table at any time. This includes the common spaces behind the tables as well. If you have more than one helper, only one can be behind your table (two people total) at a time. Please be mindful of access ways.

Table Size

Table sizes are roughly 6 feet long by 2 feet wide and 2ft 5in tall. These dimensions are subject to change.

Two (2) chairs are provided with each table. You may not supplement this amount with your own chairs.

Other Table Areas

Other table spaces belong either to another artist, or to Otakorp Inc. Interference with another table space, chairs, or displays is not allowed, and may subject you to charges, loss of your registered table space, or other action.

Tables are not refundable, and not transferable.

If an artist fails to check in for their table by noon on Saturday, they will be considered a No-Show. At that point, No-Show table(s) will be offered for sale with all remaining tables at the at-con rate on a first-come, first-served basis.

Personal Property/Merchandise

You are responsible for securing your own personal property and merchandise. Otakorp Inc. and the Alley Staff are not responsible for any lost, stolen, or damaged items, merchandise, etc.

Special note from Max and Kate: Seriously. Check out a diagram or Yelp pictures of what the Mezzanine at Planet Hollywood is like. While we haven't had any major issues, and this area is full of a gazillion cameras (being at the top of the escalator by the casino and all), it's also well trafficked at all hours (being the conduit between North and South towers, a theater, and half a dozen buffets), and hotel security is not responsible here - they're looking out for safety and casino issues. Please lock your stuff up or take it to your room. Also don't be surprised if some chairs were used by passersby. We'll try to clear away all of the trash people leave before you come back. :-)

Any structure brought to display artwork must be of sound construction and may not extend more than 5 feet above the table. In addition, all displays must reside within the confines of your area, and may not impede access behind the table.

Substance Use

Smoking or use of alcohol or drugs while in the Artist Alley will not be tolerated. Violations will result in removal from The Alley and convention.

Please refrain from running, screaming, yelling, horseplay, or obscene language; all artists are expected to be courteous and polite to one another, convention and hotel staff, the general public, and other attendees. Harrassment of any sort is not tolerated at Otakon Vegas.

If anyone is disrupting you, please seek assistance from an Otakon Vegas Staff member at any time.

Overly loud music, videos, etc. will not be tolerated in the Alley. Artist Alley staff reserves the right to ask that any loud music or noise be lowered the volume. Further noise violations can result in the artist being removed from the Artist Alley.

Photography and video recording are permitted within The Alley, provided that the person being recorded has given permission. Similarly, pictures or videos of art are allowed only with permission of the artist.

Artwork and Sales

Adult Materials

Otakon Vegas is a family-friendly event. We ask all artists to keep this in mind when setting up their displays. Any materials which are sexually explicit, violent, or otherwise unsuitable for children must be appropriately displayed. If any artist sells inappropriate materials to minors, they will be removed from the Artist Alley, and Otakon Vegas, and Otakorp, Inc. They may also be held accountable under Nevada and Las Vegas City laws.

Examples of acceptable works for sale

  • Any product featuring an artist's original character.
  • Commissioned and hand-drawn works
  • Unique, individual, hand-made items.
  • Fan art that clearly does not violate rights of any license holders
  • Original props

Examples of items prohibited for sale in the Alley

  • Any work with copyrighted materials or trademarks, including traces, etc.
  • Bootleg products.
  • Items not owned by the registered artist
  • Products that can be bought at a store either in Japan or the US
  • Food, snacks or beverages
  • Legally imported merchandise or legitimate US products. This includes, but is not limited to: wall scrolls, sharpies, art supplies, duct tape, glow sticks etc.
  • Any items for sale in the Dealers' Room
  • Props that are a replication of a copyrighted and/or licensed nature.

Fan Art

  • The Alley is intended to be a place to showcase your talent, and for sale of your original art. In this spirit, the amount of fan art displayed at your table must be less than half (50%) of the art for sale.
    • Celebrity likeness is considered to be fan art.
    • Everyone knows that copying someone else's work is wrong, but there is no "magic rule" about how much must be changed to make it an artist's own. The artist bears all responsibility and risk for the items brought for sale at Otakorp, Inc. Any questions regarding this policy will be resolved by the Department Head of the Alley, in consultation with Otakorp Inc.'s lawyer when needed. If any confusion arises with respect to trademarks or copyrighted work, the artist may be asked to remove it from display and sale at the discretion of the Department Head.
    • Art produced under license (such as commissions) counts as original art for the purpose of determining the fan-art-to-original-art ratio.

At Con/Pre Con Commissions

Commissions taken for delivery at the convention, regardless if the commission was taken pre convention for delivery or at the convention for delivery are between the artist and commissioner, Otakon Vegas is not a party in these dealings. As such Otakon Vegas and the Alley staff cannot assist you in locating either the commissioner or the artist you commissioned. Please make sure you get contact information for one another as part of your dealings.

Giveaways of any type are not allowed.

Taxes, taxes, taxes

Congratulations on making sales! Yay money! Please keep track of your sales for the weekend, as you will need to pay sales tax on your gross sales. The Otakon Vegas convention, as the Promoter, is required to collect sales taxes from you, the Vendor, at the end of the convention. We will provide forms to fill out at table check-in that you will be required to return to us at check-out along with your tax payment. Please plan ahead for how you will be able to use a check or money order. Otakon Vegas staff cannot take cash payments from artists for tax payments.

Congratulations on reading this far! If you feel that these rules are pretty straightforward, then head over to the registration details to submit your application for a table in the Alley. See you there!
